Job Description

The Ward Law Group is seeking an experienced Senior Case Manager to join our New York personal injury team.

This is an opportunity for an accomplished personal injury professional who can independently manage a high-volume caseload while providing exceptional service to clients throughout the life of their cases.

The ideal candidate has extensive New York personal injury experience, strong knowledge of New York procedures and deadlines, and experience handling cases involving auto accidents, premises liability, construction/Labor Law matters, and other complex personal injury claims.

As a senior member of the team, you will also serve as a resource and mentor to junior case managers and support staff.

Key Responsibilities

  • Manage approximately 75–150+ personal injury cases from intake through settlement or litigation transition
  • Maintain regular communication with clients regarding case status, treatment, documentation, and next steps
  • Gather, organize, and review medical records, medical bills, accident reports, insurance information, and supporting documentation
  • Follow up with medical providers to ensure records and bills are obtained timely
  • Monitor statutes of limitations, CPLR deadlines, No-Fault requirements, and other critical New York case deadlines
  • Prepare correspondence, demand packages, case summaries, and documentation supporting settlement negotiations
  • Assist attorneys with discovery, bills of particulars, depositions, IMEs, and litigation preparation
  • Coordinate with insurance carriers, medical providers, opposing counsel, and other parties
  • Assist with NYSCEF filings and case documentation
  • Identify and track Medicare, Medicaid, health insurance, workers' compensation, and other potential liens
  • Support settlement and disbursement processes to ensure files are resolved accurately and efficiently
  • Maintain accurate and detailed case notes within the firm's case management system
  • Mentor and support junior case managers, paralegals, and other team members
  • Maintain strong productivity, quality, and client-service standards in a high-volume environment

Client Communication

  • Contact clients within 24 hours of receiving their case to introduce themselves.
  • Present initial settlement offers to clients within 48 hours of receipt.
  • Educate clients about further medical treatments such as injections, rhizotomies, surgeries, TBI treatment, etc.
  • Inform clients about the necessity to file lawsuits.
  • Return all client calls the same day.
  • Maintain bi-weekly communication with clients to ensure effective communication.
  • Inform clients of case settlements and explain the reductions process.

Insurance Communication

  • Follow up with insurance companies within 10 days after a settlement demand is sent and continue timely follow-ups until a response is received.
  • Communicate settlement offers and counteroffers under the direct supervision of an attorney.
  • Conduct settlement negotiations under the direct supervision of an attorney.
  • Confirm coverage information (UM, PIP, and BI coverages).
  • Follow up on Declaration pages from PIP, BI, UM, and UM Rejection forms if applicable.
  • Send UM subrogation waivers and follow up to confirm UM subrogation is waived.
  • Schedule mediations.
  • Prepare mediation/global settlement/settlement conference summaries or presentations.

File Notation

  • Log initial offers within 24 hours of receipt.
  • Maintain thorough and accurate notes/records in Litify.
  • Keep client files updated in Litify.
  • Track offers, demands, and client authority in the negotiation link.
  • Save documents or photos in the appropriate folder.
  • Enter case resolution details in the resolution link.
  • Pay outstanding invoices and keep the expenses link updated.
  • Review and update links for injuries and treatment, approval requests, liens, Litify notes, litigations, negotiations, requests, resolutions, etc.
  • Use appropriate call subjects when logging calls.

Case Review

  • Review settlement offers before sending them to insurance companies.
  • Revise surgical case reviews before clients undergo procedures.
  • Conduct weekly audits for all cases.
  • Discharge cases as needed.
  • Draft and file lawsuits on behalf of the attorney, when applicable.
  • Dismiss lawsuits on behalf of the attorney, when applicable.

Provider Communication

  • Obtain estimates from providers before closing cases.
  • Follow up and obtain health insurance liens.
  • Check provider balances and obtain POD leader authority before settling cases with hospitals.

Client Service

  • Ensure high standards of client service and satisfaction.
  • Address client concerns and inquiries promptly and professionally.
  • Contact clients every 14 days.
  • Return client voicemails the same day.

Qualifications

  • Bilingual in English and Spanish required
  • 4–7+ years of personal injury case management experience
  • Strong New York personal injury experience required
  • Experience managing approximately 75–150+ active cases
  • Experience handling cases from intake through settlement and/or litigation
  • Experience with auto accident cases required; experience with premises liability, construction/Labor Law, and medical malpractice matters strongly preferred
  • Prior leadership, supervisory, training, or mentoring experience preferred
  • Strong understanding of New York CPLR deadlines and statutes of limitations
  • Knowledge of New York No-Fault/Article 51 and serious injury threshold requirements
  • Knowledge of municipal notice-of-claim requirements involving entities such as NYC or the MTA is a plus
  • Familiarity with discovery, bills of particulars, depositions, IMEs, and NYSCEF
  • Understanding of Medicare, Medicaid, private health insurance, and workers' compensation liens
  • Strong written and verbal communication skills
  • Excellent organization, deadline management, and attention to detail
  • Ability to work effectively with injured clients while maintaining professionalism, empathy, and urgency

Education

  • Bachelor's degree preferred; or
  • Paralegal certificate or associate's degree
