JOB SUMMARY

 

This Coordinator is responsible for recruiting, training, and managing volunteers, ensuring they are effectively engaged and supported in their roles. This includes working with consumers and team members to coordinate schedules, provide ongoing supervision, and maintain accurate records while fostering positive and productive volunteer experiences. They will also develop and deliver skills training to groups of individuals with disabilities, collaborating with families, volunteers and community resources to do so.

 

ESSENTIAL DUTIES, FUNCTIONS, AND RESPONSIBILITIES

 

  • Attend community events, fairs, and outreach activities to promote volunteer opportunities, independent living programs and resources within the school system and community.
  • Build relationships with local organizations, schools, and businesses to source potential volunteers.
  • Assist volunteers with application process, turning forms into HR for processing.
  • Organize and lead orientation sessions and training programs for new volunteers.
  • Match volunteers with roles and/or consumers based on their skills, interests, and availability.
  • Maintain an up-to-date volunteer database with accurate records of volunteer information and activities.
  • Create and manage volunteer schedules to ensure coverage for assigned program activities.
  • Communicate regularly with volunteers and consumers to confirm assignments and provide necessary information.
  • Provide ongoing support and supervision to volunteers, addressing concerns and providing guidance.
  • Organize regular meetings, appreciation events, and training sessions to engage volunteers.
  • Develop and implement recognition programs to celebrate volunteer contributions.
  • Develop, teach and/or facilitate essential life skills curriculum, including budgeting, cooking, cleaning, personal hygiene, preemployment skills, and time management.
  • Provide drivers training to help prepare students to pass the learner permit exam and offer driving simulation training as needed.
  • Responsible for coordinating weekly social/peer events.
  • Provides in-classroom independent living (IL) skills training with assigned Columbia Public Schools (CPS), including curriculum preparation for each class, and adheres to the requirements of the Memorandum of Understanding between CPS and SIL.
  • Offer guidance in developing social skills, self-advocacy, and managing interpersonal relationships.
  • Advocate for students' needs and rights within the school system and the broader community.
  • Ensure compliance with organizational policies and procedures related to volunteer management.
  • Exhibit exemplary attendance and punctuality.
  • Comply with company policies and procedures.
  • Perform other duties as assigned.

 

EDUCATION & RELATED EXPERIENCE

 

  • A bachelor's degree in social work, human resources, nonprofit management, special education, psychology, or a related field is preferred.
  • A minimum of 2 years of experience in volunteer coordination/Case management or a similar role is required.
  • Valid driver's license and reliable on-demand transportation are required.

 

KNOWLEDGE, SKILLS, AND ABILITIES

 

  • Proficiency in Microsoft Office Suite.
  • Familiarity with assistive technologies, vocational rehabilitation and/ or Pre-ETS.
  • Strong organizational, time management, and interpersonal skills.
  • Excellent written and verbal communication skills to effectively interact with volunteers, staff, and external organizations.
  • Ability to work independently and as part of a team to achieve program objectives and goals.
  • Problem-solving and critical thinking skills to address challenges related to volunteer coordination and program development.
  • Conflict resolution skills to manage any issues or disagreements between volunteers or between volunteers and consumers.
  • Attention to detail for maintaining accurate records and ensuring compliance with organizational policies.
  • Event planning and coordination skills for organizing volunteer meetings, appreciation events, and other program activities.
  • Ability to multitask and manage multiple projects while maintaining program integrity and meeting deadlines.
  • Flexibility and adaptability to manage changes in scheduling or program requirements.

 

SUPERVISORY RESPONSIBILITIES AND INTERACTIONS WITH OTHERS

 

This position has no supervisory responsibilities. However, the Volunteer Coordinator will be expected to interact daily with consumers, coworkers, community members, volunteers and interns.

While performing the duties of this job, the employee is frequently required to sit, talk, hear, and see using close- and/or distance-vision, and use their hands to touch, grasp, or type. The employee may occasionally be required to reach with their hands and arms, walk, and lift or move objects up to 25 pounds. The employee will need to pack and move boxes as needed. Hand-eye coordination is necessary to operate computers and various pieces of office equipment.

 

WORKING CONDITIONS

 

Duties are typically performed in both an office environment and in community settings. The office work environment is usually a well-lighted environmentally controlled indoor environment with a moderate level of noise. The community setting may involve travel to consumers' homes, schools, or other public venues, where conditions can vary based on location and accessibility. This role requires flexibility to adapt to diverse environments, including working with individuals who may have physical or cognitive impairments.

This is a full-time position, and the hours of work are Monday through Friday, from 8:00 a.m. to 5:00 p.m. Work hours may vary depending on operational activities and required duties; evening and weekend work may occasionally be required for special events or consumer needs. Some travel within the local community may be required to attend meetings, visit consumers, or participate in outreach activities.
