Special Projects Coordinator (Limited Duration)

POSITION PURPOSE:  

The Special Projects Coordinator will assist in managing important activities of the CEO, Co-Chairs, and Executive Committee, and other relevant event committees in the execution of events and projects for the 2027 NCAA Men’s Final Four. This position will act as project coordinator and event coordinator in the execution of monthly NCAA site visits, special events, donor fulfillment events, and other duties as assigned.

LOCATION & SCHEDULE: 

  • Temporary, Full-Time/Non-Exempt
  • Term: May 1, 2026 – May 31, 2027 (option to extend based on business need)
  • This position currently involves a hybrid working model with 2 days remote, and 3 days in-office in Detroit, MI.

WHAT WE REQUIRE:

  • Bachelor’s degree 
  • 1 - 3 years of administrative and/or event planning experience. 
  • Highly organized and detail‑oriented, with the ability to manage multiple priorities, meet deadlines, and achieve program milestones.
  • Proven ability to collaborate with, motivate, and coordinate staff, contractors, committee members, and volunteers to meet or exceed the goals of the NCAA and DLOC.
  • Ability to work evenings and weekends based on events and NCAA monthly site visit activities. 
  • Valid, unrestricted Michigan driver’s license. 

PREFERRED:

  • 4+ years of administrative and/or event planning experience. 
  • Experience and knowledge of the Detroit tourism and hospitality industry.

HOW YOU’LL CONTRIBUTE:

  • Assist the CEO in maintaining communication with the DLOC Executive Committee, donors and stakeholders. 
  • Ensure high-level administrative support to the CEO.
  • Assist the fundraising committee with the fulfillment of donor benefits and package deliverables. 
  • Manage DLOC ticket allotment.
  • Coordinate travel and meetings for DLOC leadership. 
  • Lead the planning, execution, and communication to DLOC members for monthly NCAA site visits to include the monthly NCAA/DLOC Social. 
  • Work with the CEO to provide support to special event planning committees for special events, including but not limited to: 
    • Behind-the-Scenes venue event, Selection Sunday Watch Party, Music Festival hospitality, media hospitality, and other functions as identified by the CEO. 
  • Oversee the planning and execution of the NCAA familiarization trip for corporate champions and partners (approx. 100 people). 
  • Manage and lead the DLOC memento and gifting program to identify locally sourced gifts and stay within or under budget. 
  • Coordinate memento distribution during the week of Final Four. 
  • Fiscal responsibility and reporting for assigned budget areas, to include identifying savings and revenue opportunities. 
  • Incorporate creative approaches to various projects and events by taking initiative and working independently.
  • Prepare reports and/or special projects, which may include data collection, coordination, final copy preparation, distribution, etc.

  • Other duties as assigned by the CEO and/or Managing Director.

REQUIRED KNOWLEDGE, SKILLS, AND COMPETENCIES:

  • Excellent communication skills, including the ability to clearly express thoughts, ideas, and concepts, verbally and in writing, in the English language.
  • Strong ability to organize, prioritize, and manage multiple assignments.
  • Creative and adaptable in fast-paced environments.
  • Builds and maintains effective relationships with colleagues and external stakeholders.
  • Consistently demonstrates professionalism in attitude, appearance, and behavior.
  • Effective in both remote and in-person settings; proficient with video conferencing tools.
  • Proficient in Microsoft Word, Excel, Outlook, and PowerPoint.
  • Available to work evenings, weekends, and travel as needed.

PHYSICAL DEMANDS AND WORKING CONDITIONS:

  • Office work involves extended periods of sitting or working at a desk, utilizing repetitive typing motions on a computer or laptop, and reading text on a video display monitor.
  • Ability to perform extensive standing and/or walking for work-related assignments and events.
  • Ability to lift, push, or carry up to 40lbs.
