Title: Senior Admissions Counselor, Communications Specialist – Graduate/Flex Programs

II. Position Summary

The Senior Admissions Counselor, Communications Specialist provides advanced professional knowledge, advising, and leadership in the recruitment, admission, and enrollment of graduate and Flex online undergraduate students at Chaminade University of Honolulu. In addition to managing an assigned recruitment population and counseling prospective students through the admission process, this role serves as a functional specialist for enrollment communications within the Slate CRM system.


Responsibilities include building queries and audience segments, supporting event communication workflows, drafting and deploying targeted lifecycle messaging, and coordinating one-off outreach and reminders to inquiries, applicants, and admitted students. The position plays a key role in strengthening communication strategy, ensuring consistency of messaging, and supporting knowledge transfer and capacity building within the Admissions team related to Slate communications.


This position is the face of the University to potential and new students and will personify Chaminade University’s mission and Marianist beliefs to the public, other CUH departments, and coworkers within Admissions. The role works collaboratively with Admissions, Enrollment Management, and University Communications & Marketing to ensure timely, accurate, and student-centered messaging that advances enrollment goals, supports conversion across the student lifecycle, and enhances the prospective student experience.

IV. Essential Duties and Responsibilities

  • Implement all parts of the Admissions strategic plan and support departmental enrollment goals
  • Meet recruitment goals set by the department through territory management and student outreach
  • Represent Chaminade University at events, functions, and meetings with students, parents, community partners, and employers
  • Assist in planning and execution of recruitment functions, including on-campus, virtual, and off-campus events
  • Provide information to prospective students and families about educational opportunities across graduate and Flex online undergraduate programs
  • Counsel students on admission requirements, application completion, enrollment steps, and program fit
  • Refer students to Financial Aid and other campus resources as appropriate
  • Review applications for eligibility and obtain information to determine admissibility in accordance with departmental evaluation procedures
  • Develop and maintain relationships with community contacts, academic departments, and campus partners
  • Travel to conferences, community events, and partner organizations to promote Chaminade University and its programs
  • Respond to phone, email, text, and CRM inquiries in a timely and student-centered manner
  • Utilize the Slate CRM system to perform data entry, data searches, reporting, and audience segmentation
  • Build and maintain queries, support event communication workflows, and coordinate targeted enrollment communications across the student lifecycle
  • Draft, schedule, and deploy one-off and automated communications to inquiries, applicants, and admitted students, ensuring accuracy and consistency of messaging
  • Prepare reports, correspondence, and presentations; assist with the design and development of recruitment and enrollment communication content in collaboration with University Communications & Marketing
  • Support internal knowledge sharing and capacity building related to Slate communications and enrollment messaging
  • Perform related duties as assigned to support Admissions and Enrollment Management priorities

VI. Education and Experience

Minimum
 Bachelor’s degree in a relevant field with at least three (3) years of experience in admissions, recruitment, customer service, sales, or a related student-facing role. Demonstrated experience using CRM systems and digital communication tools to support outreach, engagement, or enrollment activities.

Preferred
 Experience counseling students in academic and scholastic matters within a higher education setting. Familiarity with Slate or a similar CRM platform, including audience segmentation, query building, and lifecycle communications. Experience drafting enrollment communications, supporting event communications, or collaborating with marketing/communications teams is strongly preferred.


VII. Required Knowledge, Skills & Abilities

  • Broad knowledge of institutional admission requirements and enrollment processes
  • Ability to maintain confidentiality and handle sensitive student information with discretion
  • Experience with CRM systems; familiarity with Slate strongly preferred, including query building, audience segmentation, and enrollment communications
  • Comfortable and articulate when speaking in front of groups, facilitating information sessions, and representing the University in public settings
  • Strong understanding of digital communication strategies, including email, SMS, social media, and event communications
  • Energetic, self-motivated, goal-oriented, and able to work both independently and collaboratively
  • Excellent written, verbal, and interpersonal communication skills with the ability to interact effectively with individuals at all levels of the University and with a culturally and ethnically diverse student population
  • Proficiency in Microsoft Office Suite and related technology platforms; ability to learn new systems quickly
  • Highly organized with strong attention to detail and accuracy in data gathering, entry, and reporting
  • Demonstrated project management skills with the ability to prioritize multiple initiatives and meet deadlines
  • Ability to develop clear, student-centered messaging and ensure consistency across communications
  • Commitment to quality, thoroughness, and continuous process improvement
  • High integrity and ethical standards
  • Support team knowledge sharing and training related to Slate communications, workflows, and student lifecycle messaging


VIII. Physical Requirements

Duties involve light work in an office and community setting and require intermittent sitting, standing, climbing stairs, and walking inclines. Must be able to lift up to 20 pounds, walk campus with ease, and demonstrate strong motor skills and finger dexterity. Must be able to communicate information and ideas clearly so others understand.


IX. Other Requirements

  • Must have a valid driver’s license and/or access to transportation for intra-island travel
  • This is a full-time, exempt position. Forty hours per week (M–F) will be the general rule; however, additional hours or schedule adjustments may be required based on project cycles and departmental needs. Must be willing and able to work evenings and weekends as needed
