Purpose
The Program Officer for Grants and Reporting Compliance is responsible for supporting the delivery of high-quality resettlement and integration services for refugee populations, primarily served through the Matching Grant (MG), Preferred Communities (PC) Programs and other Resettlement and Integration program as needed, across the CWS affiliate network.
This position has responsibilities supporting the monitoring and grant and reporting compliance of the Preferred Communities, Matching Grant and other Resettlement and Integration programs as needed. The position also has responsibilities related to data analysis, training, technical assistance, monitoring and proposal and report writing. An important prerequisite for this position is the ability to work collaboratively as part of a team in a collegial manner and to work independently to complete assignments.
This position is funded by a grant with a program period ending September 2027.
Responsibilities
Program Monitoring and Oversight
- Maintain up-to-date self-education about programs. Ensure other unit colleagues are informed as appropriate.
- Regularly review program policies, forms, and manuals to stay abreast of changes in program implementation.
- Support supervisor with development and curation of tools, resources and training on themes relevant to the program
- Monitor general program quality and conduct reviews of program implementation and documentation requirements to ensure quality and timeliness of program service implementation and fulfillment of documentation requirements.
- As requested, represent CWS at internal and external conferences, meetings, committees and working groups with CWS colleagues, government donors, community partners, and other stakeholders.
- Support in the management of program trackers and assist with reporting and data collection for program reports and responses to requests for proposals.
- Support the provision of needs-based technical assistance and training; this may be provided through e-learning modules, webinars, in-person training, communities of practice and one-on-one phone call
Grants, Reporting, and Compliance
- Support compilation and analysis of narrative and data reports for submission to funder
- In coordination with supervisor, analyze funding guidelines to ensure agency compliance; as necessary, assist in the development or revision of CWS policies, standard operating procedures, and training materials to ensure high quality service provision
- Contribute to the development of the proposals when requested. In collaboration with supervisors and colleagues, review written narratives.
- Contribute to required program reporting as necessary, including but not limited to, data and narrative reporting to ensure proper tracking and reporting of activities.
- Regularly review qualitative and quantitative program data to identify program trends, areas for improvement, best practices, and make recommendations for program development and enhancements
Partnerships and Development
- Develops and nurtures relationships with providers and other community partners to support program requirements and activities.
Perform other duties as assigned.
Qualifications
Education:
- Bachelor’s degree in social work, human services, sociology, psychology, public administration, public health, or related field or equivalent experience in lieu of degree.
Experience:
- 5 years of experience working in refugee or immigrant-related services,
- Experience in a local resettlement affiliate or a national office of a resettlement agency (preferred).
- Experience in social services or nonprofit sectors (preferred).
Skills:
- Strong interpersonal and diplomacy skills; ability to work collaboratively and effectively with partners and teams.
- Strong attention to detail a must
- Ability to always conduct oneself in a professional and courteous manner to represent the professional and institutional interests of CWS.
- Strong knowledge and experience in working with Microsoft Word, Excel, Power Point and database software is essential.
- Strong writing skills are required.
- The ability to work in a multi-cultural environment is required.
Special Requirements
Work Environment:
- Hybrid or in office environment depending on program needs.
- Occasional evening or weekend hours for client emergencies or community events.
- Some local travel may be required.
