For more than 25 years, Monte Nido has been delivering proven treatment for eating disorders. Our model of treatment blends the personalized and medically sophisticated care for which we are known, with the latest research and strategies for those overcoming eating disorders. Our treatment setting is intimate with a high staff-to-client ratio, and an emphasis on individual therapy and highly individualized treatment. 

 

The Program Coordinator assists in the execution of program operations and coordination of clinical care, in accordance with the Monte Nido philosophy and mission. The Program Coordinator oversees the administrative and quality side of clinical documentation to ensure the clinical teams best carry out their duties while performing to state and other regulatory standards. On a daily basis, this role reports to the Clinical Director and supports the Primary Therapists, Assistant Clinical Directors, and Program Manager through the tracking and completion of supportive documentation and provision of comprehensive case management for clients across the adult and adolescent milieus.

 

Schedule: Full Time Monday-Friday 8am-4pm

Pay: $68,000-$90,000/YR

Responsibilities Include:

Essential Duties and Responsibilities

  • Promote program quality through timely chart audits, tracking areas for improvement, supporting clinical team re-training, and assisting with labs, attendance, and other program operations.
  • Manage chart completion, ensuring all required documents and signatures are present.
  • Maintain and build relationships with outpatient providers for the purposes of strengthening collaboration between teams. Assist with outreach and ongoing communication between these providers.
  • Actively involved in the first day of programming to ensure helping with any troubleshooting, getting them acquainted with the team and schedule and providing resources as needed.
  • Develop and maintain a system of tracking outpatient (therapists, RDs, psychiatrists, PCPs/pediatricians, specialists) and program (external HLOC, DBT, trauma) referrals and organizing these by geography, insurances accepted, specialties, and other relevant info.
  • Assist clinicians in executing referral/transfer process to HLOC/alternate tx when indicated.
  • Assist in Joint Commission and payor audits as needed.
  • Track status of discharged client charts and assist in the timely closure of discharged charts.
  • Support clinical team members with the completion and execution of forms and letters related to leaves of absence from school/work, accommodations, and disability claims.
  • Attend and participate in clinical staff meetings; record and distribute notes/minutes form these meetings to the entire team.
  • Exercise sound judgment, professionalism, confidentiality, and maturity in interactions with staff and clients.
  • Audit documentation to ensure it meets payer and accreditation standards.
  • Manage the completion of client satisfaction surveys and LOC clinical assessment questionnaires.
  • Manage team celebrations, e.g., personal milestones, birthdays, and work anniversaries.
  • Upon admission, ensures ROIs are in place with outpatient provider teams, sends initial outreach, and audits h/w/v are updated weekly.
  • Completes weekly clinical updates and shares these updates with parents and team members.
  • Eat meals and snacks with clients, as assigned.
  • Complete suicide risk assessments, as assigned.
  • Assist in the execution of discharge planning, including ensuring clients are established with outpatient team members and appointments prior to level of care change and discharge.

 

Additional Duties and Responsibilities

  •  Assist with insurance-related issues and updates as needed.
  • Participate in other compliance activities depending on organizational needs.
  • Provide additional program support as needed and appropriate.
  • If needed, support Program Manager and leadership team with front-of-funnel tasks (e.g., orientations, admissions information) and assist with scheduling needs.
  • Provide program updates to staff (e.g., contact details for other departments).
  • Attend and participate in all required staff meetings and management meetings, and aid in the facilitation of those meetings where needed.
  • Exercise maturity of judgment, while maintaining strict confidentiality standards, and professionalism in interaction with staff and Cares at all times.
  • Provide additional program support as needed and as appropriate.
  • Provides up to date program information to the team, e.g., contact details for other departments.
  • Assist with other tasks, as needed.

Qualifications:

  • Bachelor's Degree required, BSW preferred.
  • Experience in case management/coordination. Minimum prior administrative experience in a similar environment
  • Knowledge of mental illness, including eating disorders, preferred.
  • Knowledge of basic medical terminology is preferred.
  • Knowledge of insurance and billing preferred.
