Job Summary

A Move-in Coordinator manages the transition process for new residents entering independent living, assisted living, and memory care. They guide families through tours, handle paperwork, and collaborate with care teams to ensure a smooth, welcoming, and compliant move-in experience. This role balances sales and administrative duties with a strong focus on empathy, ensuring a seamless transition into our independent living, assisted living, and memory care neighborhoods.

Essential Duties and Job Responsibilities

  • Guide families through the move-in process, ensuring all necessary residency agreements, medical forms, and financial documents are completed accurately.
  • Coordinate the scheduling of move-ins, ensuring the apartment/suite is thoroughly cleaned, painted, and ready for the resident.
  • Collaborate with the maintenance team to facilitate any specific accessibility or safety modifications (e.g., grab bars, specialized equipment).
  • Collaborate with the Director of Health Services and/or Wellness Director to ensure comprehensive pre-move-in assessments are completed.
  • Ensure that memory care-specific needs and assisted living care plans are clearly communicated to the care staff prior to the resident’s arrival.
  • Serve as the main point of contact for the new resident and their family during their first 30 days.
  • Facilitate a "Welcome Committee" or introduce new residents to current residents and department heads to encourage socialization and community integration.
  • Ensure the resident’s personal preferences, dietary needs, and background information are shared with the dining and activities teams.
  • Collaborate with accounting, IT, nursing and maintenance departments about move in readiness for residents.
  • Facilitating communication between residents, families, and staff, and escalating concerns to appropriate personnel. 
  • Assisting with transportation scheduling, guest meal coordination, and other tasks as needed. 
  • Ensuring all necessary information is up-to-date and readily available. 
  • Other duties as assigned.

Requirements and Qualifications

  • Prefer bachelor’s degree in gerontology, social work, business, marketing, or a related field
  • Minimum 2–3 years of experience in senior living sales, move-in coordination, or healthcare administration (assisted living and memory care experience highly desired).
  • Have a passion for caregiving and enhancing the quality of life for our residents[SC1] 
  • Excellent verbal and written communication skills are essential for interacting with residents, families, and staff. 
  • The ability to manage multiple tasks, prioritize effectively, and maintain detailed records
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software. 
  • The ability to provide positive and helpful experience for residents and visitors. 
  • The ability to address issues and find solutions efficiently
  • Must maintain a high standard of confidentiality and honesty.
  • Strong analytical skills and the ability to evaluate and solve problems with minimum assistance.
  • Must maintain and have an active CPR/BLS during employment.
