Mental Health Client Care Coordinator

Studying to become a therapist and looking for a job that connects to the work you want to do? At SoLuna Mental Wellness, you can be part of a local therapy practice while you finish your degree. You’ll learn how people first reach out for care, work alongside our clinical and business teams, and help clients take the next step toward an appointment. This can be a great fit for graduate students at Sam Houston State University and other counseling, MFT, and social work programs in the north Houston area.

For someone considering therapy, the first phone call can be hard to make. We’re looking for two (2) Client Care Coordinators who can meet that moment with warmth, listen well, and follow through. This is an active, phone-centered role for people who enjoy connecting with others and take pride in getting the details right.

The first call to a mental health practice can take courage. Someone may be anxious, unsure about cost, or just looking for a place to begin. At SoLuna, we want that call to feel like home. We're hiring two part-time Client Care Coordinators who can listen, connect, and help people move from "I think I need support" to an appointment and a clear next step.

SoLuna was built in Houston to serve our region's diverse individuals, families, and communities. We're an in-person, collaborative practice in The Woodlands offering therapy, psychiatry, psychological assessments, and groups. We invest in the people who provide care as much as those who receive it, and care begins when we answer the phone.

You'll see how people actually access mental health care, work alongside professionals across disciplines, and have access to regular training grounded in our depth-psychology perspective, plus coaching and mentorship. Eligible students may be considered for clinical supervision as a separate opportunity, subject to program requirements and supervisor availability.

What You'll Do
• Answer calls promptly and help clients feel heard and welcome
• Ask thoughtful questions, explain our services, and match clients with an appropriate provider
• Follow up with new inquiries, unscheduled clients, and waitlists
• Schedule and confirm appointments, fill openings, and coordinate with therapists and the business team
• Explain insurance and expected costs clearly, and collect payment information and deposits per practice policy
• Keep accurate records, protect confidentiality, and follow through on every open inquiry

Who You Are
You enjoy talking with people, even on a busy phone line. You put strangers at ease without sounding scripted or pushy, notice when someone needs more time, and guide the conversation toward a useful next step. You're organized, dependable, and committed to the follow-up that keeps people from falling through the cracks.

We strongly prefer candidates enrolled in a master's program in counseling, MFT, social work, or a related field. Scheduling, customer service, call center, or healthcare office experience is helpful. Spanish is welcome.

Schedule & Pay
• Monday–Friday, 9 a.m.–1 p.m. (about 20 hrs/week) or 1–6 p.m. (about 25 hrs/week)
• Based in The Woodlands, with possible remote flexibility once established
• $18–$22 per hour, depending on experience; no benefits
