SUMMARY:The Employment Administrator provides leadership, supervision, coordination, and quality oversight for multiple employment and transition programs serving students and adults with disabilities. This position oversees Job Path Pre Employment Transition Services programs delivered in assigned service settings, as well as two Project SEARCH programs located in the River Valley and Northwest Arkansas (NWA) regions. The Employment Administrator ensures that programs operate with consistency, meet contractual and regulatory requirements, support competitive integrated employment outcomes, and reflect the organization’s mission, values, and standards of service.

This role supervises program leaders and direct service staff who provide classroom based instruction, career exploration, work based learning, job development, skills training, internship support, employer engagement, documentation, and follow along employment support. The Employment Administrator serves as a key liaison among internal teams, schools, host businesses, vocational rehabilitation partners, families, employers, and community stakeholders.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Program Leadership and Oversight



Provide day to day administrative oversight for Job Path Pre ETS programs and Project SEARCH programs in the River Valley and Northwest Arkansas (NWA) regions.


Ensure program services are implemented in accordance with organizational policies, funding requirements, school agreements, host business expectations, Project SEARCH model standards, and applicable vocational rehabilitation expectations.


Monitor program performance, service delivery, documentation, staffing patterns, student and intern progress, employment outcomes, and overall quality.


Establish consistent expectations, workflows, and communication practices across programs while allowing for local site needs and partner requirements.


Identify program needs, recommend improvements, and support implementation of corrective action plans when needed.



 

Supervision and Staff Development



Supervise Job Path Community Employment, Job Path Program Manager, and Project SEARCH instructors, job developers, job skills trainers, and other assigned staff


Provide coaching, feedback, mentoring, and accountability to ensure staff are successful in their roles and aligned with program expectations.


Conduct regular individual and team meetings, performance check ins, and site visits.


Assist with hiring, onboarding, training, performance evaluations, corrective action, and staff retention efforts.


Promote a professional, collaborative, and outcome focused team culture across all assigned programs.



 

Pre ETS and Job Path Program Support


Oversee Job Path services provided in assigned school, community, or other approved service settings, including job exploration counseling, workplace readiness training, work based learning experiences, self advocacy instruction, and counseling on postsecondary education or training opportunities.

Support staff in coordinating with school personnel, vocational rehabilitation counselors, students, families, community partners, and other stakeholders as applicable to each program setting.


Ensure services are scheduled, delivered, documented, and reported accurately and timely.


Monitor student engagement, service milestones, referral processes, and outcomes related to transition planning and employment readiness.



 

Project SEARCH Program Support



Provide oversight and support for two Project SEARCH programs, including program planning, partner coordination, internship rotations, skills training, job development, employment planning, and transition to competitive integrated employment.


Collaborate with Project SEARCH instructors, job skills trainers, host businesses, school districts, vocational rehabilitation partners, families, and other team members.


Ensure staff use appropriate instructional strategies, job analysis, task analysis, accommodations, natural supports, data collection, and progress monitoring to promote intern independence.


Participate in program meetings, steering committee activities, employment planning meetings, and partner communications as appropriate.


Support fidelity to the Project SEARCH model and promote continuous improvement in employment outcomes.



 

Compliance, Documentation, and Quality Assurance


Ensure assigned programs maintain complete, accurate, and timely documentation, including service notes, attendance records, progress reports, outcome data, billing support, referral records, and other required documentation.

Review program data and reports to identify trends, barriers, training needs, and opportunities for improvement.


Maintain knowledge of applicable program standards, contract deliverables, confidentiality requirements, safety expectations, and employment service best practices.


Prepare summaries, reports, and updates for leadership, funders, and partners as requested.



 

Community, Employer, and Partner Relations



Develop and maintain productive working relationships with school districts, host businesses, vocational rehabilitation representatives, employers, families, community agencies, and other stakeholders.


Represent the organization professionally in meetings, community events, partner discussions, and program related activities.


Support staff in developing employer relationships, internship opportunities, job leads, and work based learning experiences that match participant strengths, interests, and support needs.


Assist in resolving program concerns, partner issues, and service delivery barriers in a timely and professional manner.



 

Travel and Site Coverage



Travel regularly to assigned program sites, including the River Valley and Northwest Arkansas (NWA) regions, for supervision, meetings, observations, partner engagement, training, and program support.


Maintain flexibility in schedule to meet program needs, including occasional early morning, evening, or extended travel days.


Ensure reliable transportation, valid driver’s license, and compliance with organizational travel requirements.



 

Compliance & Quality Assurance



Ensure adherence to regulatory, accreditation, and organizational standards across all services.


Monitor documentation, service delivery, and classroom practices for compliance.


Support audits, inspections, and quality improvement initiatives.



 

Team Leadership & Collaboration



Provide leadership, coaching, and performance management for the Licensed Teacher and other staff as applicable.


Foster collaboration between classroom staff, therapists, and administrative teams.


Support a culture of accountability, communication, and continuous improvement.

The Code of Conduct and Compliance Investigation Procedures as read and discussed in the new employee training must be followed at all times.


Person served progress notes be maintained and completed daily or as needed on the prescribed forms.


Person served records must be maintained weekly, monthly, quarterly, and yearly. All information must be filed in person’s served records as needed and updated as prescribed by funding sources.

EDUCATION and/or EXPERIENCE:



Bachelor’s degree in rehabilitation, education, special education, human services, social work, business, management, or a related field preferred; equivalent experience may be considered.


Minimum of three years of experience in employment services, vocational rehabilitation, transition services, supported employment, special education, workforce development, or related human services field.


Minimum of one year of supervisory, lead, coordination, or program management experience preferred.


Experience working with individuals with disabilities, students with disabilities, employers, schools, and/or community partners.


Knowledge of Pre Employment Transition Services, competitive integrated employment, supported employment, job coaching, job development, or Project SEARCH preferred.


Ability to travel regularly throughout the state.


Valid driver’s license, acceptable driving record, and access to reliable transportation.


Ability to pass required background checks and meet all organizational employment requirements.



 

LANGUAGE SKILLSAbility to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write simple correspondence. Ability to effectively present information in one on one and small group situations to customers, clients, and other employees of the organization.
