The Arts Outreach Coordinator assists the Assistant Director of Arts Outreach with the planning, coordination, implementation, and evaluation of mission-driven arts outreach programs. This position helps ensure the successful delivery of educational initiatives, community engagement activities, grant-funded programs, and special events that advance The Pavilion's mission of making the arts accessible to all.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

•Support the planning, production and implementation of educational outreach programs and performing arts programs.  

•Assist in the execution of the annual Children’s Festival  

•Manages all aspects of the Instrument Petting Zoo off-site engagement program, including scheduling, logistics, volunteer coordination, partner communication, and event execution.

•Coordinate with school representatives for various educational outreach programs and disseminate all important information pertaining to the event.

•Create information packages for each school and each event including but not limited to wristbands, parking sheets, information guides, etc.

•Develop and maintain educational programming materials, filing system and website information.

•Maintain knowledge of and compliance with Texas curriculum standards and state requirements for lesson plans, study guides and professional development.

•Coordinate the Mini Pavilion Maestro Kids Club program. 

•Track program and activity data and develop reporting for use in development/marketing and ensure well-informed communication flow and impact.

•Coordinate the performing arts reserved seating program and seek innovative ways to increase its usage

•Assist with pre-show activities for an average of 15 performing arts events, special events and festivals annually.

•Prepare disbursements and track expenses for department 

•Report to the Assistant Director on program developments, challenges and successes.

•Builds and maintains collaborative relationships with educators, school districts, community organizations, volunteers and arts partners to support outreach initiatives.

•Provides on-site support for performances, outreach events, festivals and other Pavilion activities as assigned.

•Maintains inventory of Arts Outreach program supplies, instruments, equipment and materials to ensure readiness for programs and events.

•Load, unload, move and arrange musical instruments, equipment, displays and other program materials for on-site and off-site events. 

•Assists with the collection, analysis and reporting of program data, surveys and participant feedback to evaluate program effectiveness and support continuous improvement.

 

Other duties may be assigned as necessary. 

 QualificationsSPECIAL ABILITIES AND SKILLS:

•Capable of working well with the public and projecting a positive image

•Strong organizational skills to keep track of a multitude of tasks and assignments. 

•Ability to develop and maintain relationships with arts partners and school districts 

•Capable of working under deadlines and under pressure

•Event planning and supervisory skills preferred 

•Self-motivated with the ability to work independently, take initiative with minimal supervision and demonstrate ownership for assigned responsibilities.

•Exercise sound judgment and take initiative in resolving issues independently when appropriate and elevate concerns to management with recommended solutions and next steps.

 

PHYSICAL REQUIREMENTS: 

•This position requires frequent lifting, moving and transporting of equipment, furniture, supplies and other materials as part of daily job responsibilities.

•Ability to regularly stand, walk, bend, stoop, kneel, reach, and lift during event setup and breakdown.

•Ability to lift and carry up to 25 pounds and move musical instruments, equipment, boxes and program materials. 

•Ability to work indoors and outdoors in varying weather conditions.

 

EDUCATION AND EXPERIENCE:

•Bachelor’s degree in Fine Arts, Arts Administration, Education or a related field with 1-3 years experience in arts programming, education and/or outreach or 3-5 years experience in arts programming, education and/or outreach will be considered in lieu of Bachelor’s degree

•Nonprofit experience preferred 

•Working knowledge of the following programs: Microsoft Office, Adobe Creative Suite and HTML


WORK SCHEDULE:

•While the primary schedule is Monday through Friday during normal business hours, this position requires flexibility to work evenings, weekends and holidays as needed to support performances, community engagement programs and special events.
