Position Summary

Amazing Counseling & Rehabilitation is seeking a highly organized, compassionate, and motivated Administrator to oversee the daily administrative operations of our counseling practice. The ideal candidate will ensure smooth office operations while supporting our clinicians, clients, and leadership team.

This position requires exceptional organizational skills, professionalism, strong communication abilities, and the ability to manage multiple priorities in a fast-paced healthcare environment.

Key Responsibilities

Oversee daily administrative operations of the counseling practice.
Supervise front office activities and ensure excellent client service.
Coordinate appointments, schedules, and provider calendars.
Manage client intake, documentation, and electronic health records.
Ensure compliance with HIPAA and organizational policies.
Support therapists, counselors, and leadership with administrative needs.
Assist with insurance verification, authorizations, and billing coordination.
Monitor office supplies, vendor relationships, and facility operations.
Prepare reports, maintain confidential records, and organize documentation.
Coordinate staff meetings, onboarding activities, and administrative projects.
Resolve client concerns professionally while maintaining confidentiality.
Collaborate with leadership to improve operational efficiency and patient satisfaction.

Qualifications

Required

Bachelor’s or master’s Degree in one of the following:
Psychology
Social Work
Professional Counseling
Mental Health or a closely related field
Minimum 2 years of administrative experience, preferably in a healthcare or behavioral health setting.
Excellent organizational and time management skills.
Strong written and verbal communication skills.
Proficiency in Microsoft Office Suite and Google Workspace.
Ability to maintain confidentiality and handle sensitive information professionally.
Strong multitasking and problem-solving abilities.

Preferred

Experience working in a behavioral health, counseling, or medical office.
Familiarity with Electronic Health Record (EHR) systems.
Knowledge of insurance verification and medical scheduling.
