POSITION SUMMARY:
The Administrative Support Specialist provides administrative support to the Vice President of Quality Assurance and the programs they oversee, including the Center for Holocaust Survivors and the Russian-Jewish Cultural Center.

ESSENTIAL FUNCTIONS:
Grant Compliance
  • Process all requests for payment and reimbursement for Holocaust survivor program using database software, including validating all requests for appropriateness and compliance with grant guidelines.
  • Prepare weekly report for import into spreadsheets and general ledger using multiple databases.
  • Maintain Excel spreadsheets for tracking client and financial data. Use precise accounting to manage complex budgets and funding sources in compliance with multiple grant guidelines.
  • Assist with preparing for and executing audits and surveys.
  • Support quarterly and annual grant reporting including tracking of expenses and outcomes.
  • Prepare and contribute quarterly grant reports. Submit grant reports. Communicate grant report status with collaborative team.
  • Track grant budgets in collaboration with VP, Program Manager and Shared Business Services (SBS).
Administrative Support
  • Provide administrative support to the Vice President of Quality Assurance, including calendar and communication management, credit card tracking, and meeting preparation
  • Participate in the JFS Admin Team rotation, including opening and closing procedures two days per week at the Blue Ash and/or Clifton location.  Participate in security meetings, assist in the development and implementation of security procedures. 
  • Coordinate with SBS on spending reconciliation by grant and category to match the general ledger.
  • Assist in maintaining records for audits and preparing for audits.
  • Maintain accurate client information spreadsheets and databases.
  • Communicate with vendors.
  • Communicate with clients by phone, email, and in person, and document contacts in the client record.
  • Assist with coordinating client transportation and attendance for social programs.
  • Perform other duties as assigned.
CANDIDATES SHOULD HAVE THE FOLLOWING SKILLS AND EXPERIENCE:
  • Clear and precise in both spoken and written communication, with strong attention to detail. Must have excellent written and verbal communication skills in English. Bilingual in Russian and English preferred.
  • A minimum of two years of related work experience is required. Bachelor’s degree preferred.
  • Experience with behavioral health quality assurance and/or grant compliance preferred.
  • Able to use standard office equipment. Able to navigate office, home, and community environments.
  • Highly proficient in the use of computers, common office software, web-based databases, and Microsoft365, especially Excel. 
  • Able to prioritize and schedule work efficiently, work collaboratively, and take direction/instruction from multiple people with asynchronous goals/schedules.
  • Able to work with a diverse client population, including older adults, Holocaust survivors, clients with limited English proficiency, survivors of trauma, and those with dementia. Knowledge of PCTI principles preferred.
  • Valid driver’s license plus appropriate insurance as determined by our liability insurance company.
  • Ability to follow laws and agency policies on handling confidential information.
  • Knowledge of the Jewish community is preferred.
This position requires walking, standing, sitting, and navigating home, community, and office environments, and lifting up to 50 lbs. occasionally. Additionally, the use of a car is needed to make home visits, travel to off-site events, and provide occasional transportation for older adult clients.
